Plan a gathering without hidden assumptions
Start with the event date, expected group size, and any access or communication needs. Preparation tasks use one of two deadline rules. A relative deadline, such as ten days before the event, automatically moves when the event date changes. A fixed deadline stays on its chosen calendar date. This distinction prevents a venue cutoff or permit date from shifting accidentally while still making reusable checklists easy to reschedule. Every task can have its own owner and notes, and duplicate titles are flagged so two people do not unknowingly do the same job. The day-of schedule is a separate ordered list because preparation deadlines and the running order answer different questions. Move activities up or down, enter actual times, and keep setup and cleanup visible. Examples are deliberately generic and editable: the planner does not assume a religion, culture, gender role, alcohol service, or a wedding format.
